Terms and conditions

The plain version of how we work together. Last updated 12 October 2026. If anything here is unclear, ring us on 0468 075 000.

1. Who we are

OffsiteMate (ABN 67 165 416 123) (“we”, “us”). You can reach us on 0468 075 000 or hello@offsitemate.com.au.

These terms apply when you sign up for any of our services: Core (the AI receptionist, missed-call text back, text assistant, booking and reminders, quote follow-ups and review booster) and the optional extras (websites, SEO and Google profile setup).

2. Prices and paying

Prices are in Australian dollars and are listed on our prices page. We’re not registered for GST, so no GST is added.

The setup fee is paid before we start setting you up. The monthly fee is charged to your card each month, in advance, through our payment provider.

Each plan includes a set number of minutes and texts a month. Unused minutes and texts don’t roll over to the next month.

If you go over, extra minutes are A$0.49 each and extra texts A$0.25 each. They’re added to your next monthly bill.

We’ll give you at least 90 days’ notice before a price goes up.

3. Cancelling

There’s no lock-in contract. It’s month to month, and you can cancel any time by texting or emailing us.

The service keeps running until the end of the month you’ve paid for, then stops. We don’t refund part months.

The setup fee pays for work we start straight away, so it isn’t refundable once we’ve started setting you up.

4. What you agree to do

Give us accurate details about your business: your services, prices, hours, area and what counts as an emergency. Tell us when they change.

Use the service lawfully, including the laws on calling and texting people, like the Spam Act.

Look after the jobs themselves. You’re responsible for the work you do and what you charge for it.

5. How the assistant works, and its limits

The assistant is AI. It tells callers it’s your assistant and never pretends to be a person.

It can get things wrong. We read what it says and fix it, and you can text us any time to change it.

It isn’t an emergency service. If someone’s in danger, it tells them to hang up and ring triple zero.

Phone networks and the software we use can go down. We fix what we can as fast as we can, but we can’t promise every call will be answered.

6. Your phone number

We set you up with an Australian phone number for your assistant. It’s part of the service.

You keep your own number. Your phone forwards calls to the assistant’s number, either when you don’t answer or all the time, whichever you choose. Your number stays with your phone company and stays yours.

Keep using your own number on your ute, website and cards. The assistant’s number belongs to the service, and when you cancel we release it.

7. Calls, recordings and your customers’ details

Calls are recorded, and the assistant tells every caller at the start of the call.

We keep your customers’ details, messages, call transcripts and bookings to run the service for you. They’re stored with the software companies we use, which keep data overseas, including in the United States.

Call recordings are deleted automatically 90 days after the call. Transcripts, messages and bookings are kept while you’re with us, so you can look back on them.

When you cancel, you have 30 days to ask us for a copy of your customers’ details, bookings and conversations. After that we delete them. We keep our own billing records for 5 years, because the tax office requires it.

8. Websites and SEO

We write the words and you approve them. Hosting and edits are included while you’re on Core. Your domain is registered in your name.

If you leave, you can take the website with you for a one-off fee of A$500.

Nobody can promise a position on Google, and we don’t.

9. Who’s responsible for what

Nothing in these terms takes away your rights under the Australian Consumer Law.

Where the law lets us, if something goes wrong with the service, we’ll fix it, or refund the fees for the month it went wrong.

Where the law lets us, we aren’t responsible for indirect losses, like lost jobs, lost profit or missed calls, or for problems caused by phone networks, power outages or other companies’ services we don’t control.

In any case, the most we’re responsible for is the total you paid us in the 12 months before the problem.

You’re responsible for the details you give us, like your prices and services, and for the work you do.

10. If a payment fails

We’ll let you know and try again. If it still hasn’t been paid 7 days after we tell you, we’ll pause the service until it is.

11. Changes, and which law applies

We’ll tell you at least 90 days before these terms change. If you don’t like a change, you can cancel before it starts.

These terms are governed by the law of New South Wales, where we’re based. Wherever you are in Australia, you keep your rights under the Australian Consumer Law.
